AI automation

AI automation for business: less copying, chasing and re-typing

We automate the repetitive back-office work that slows small and mid-sized teams down: reading invoices and orders, moving data between your CRM, accounting and e-commerce tools, triaging support emails and building reports. We use plain automation where rules are enough and add AI steps only where the work needs reading or judgment. We work with UK businesses first, and with teams in the US, Europe and Australia.

01/signals

Signs your business is ready for automation

  1. Someone re-types data from emails, PDFs or forms into another system every day.

  2. The same customer questions arrive again and again, and each reply is written from scratch.

  3. Your CRM, accounting software and online store disagree because they are updated by hand.

  4. Regular reports take hours of exporting and pasting spreadsheets.

  5. Orders, stock levels or refunds need manual checks before anyone can act on them.

  6. You tried a Zapier or Make flow, but it breaks quietly and nobody notices.

02/what we automate

What we automate

Manual task today01Reading invoices and receipts, then keying them into accountingWhat we automateAn AI step extracts supplier, amounts and dates into a fixed format; rules check them and a person approves before anything is posted.
Manual task today02Copying order details from emails or PDFs into your systemWhat we automateIncoming orders are parsed, validated against your product list and created as drafts for review.
Manual task today03Processing web forms and enquiries by handWhat we automateForm entries are cleaned, de-duplicated and sent to the right tool and person.
Manual task today04Keeping CRM, accounting, store and spreadsheets in syncWhat we automateRecords sync between tools through their APIs, with clear rules for which system wins.
Manual task today05Sorting the support inbox and writing every replyWhat we automateEmails are tagged by topic and urgency, routed to the right person, and a reply is drafted for a person to check and send.
Manual task today06Building monthly and management reports from exportsWhat we automateData is pulled on a schedule into one sheet or dashboard, with a short AI summary of what changed.
Manual task today07Checking Shopify orders, stock and fulfilment by handWhat we automateOrder tagging, low-stock alerts, supplier notifications and fulfilment updates run from Shopify Flow, webhooks or a small service.
Manual task today08Chasing missing information from customers or suppliersWhat we automateGaps are detected and a follow-up is drafted or queued, with a person approving anything sent externally.
03/engagement

AI automation project

A scoped engagement that starts with your most repetitive task, automates it properly and measures the result before we add more.

What we do

  • Map how the work is done today, the tools involved and where time goes
  • Pick the first process, based on volume, repetition and risk
  • Choose the right tool: n8n, Make or Zapier for simple flows, custom TypeScript or Node.js services when volume, reliability or data control need it
  • Add AI steps with OpenAI, Anthropic Claude or Google Gemini only where reading, classifying or drafting is needed
  • Build approvals, logging and error alerts, and record time spent before and after

What you get

  • Working automations in your own accounts or infrastructure
  • A before-and-after measurement of the time the process takes
  • Documentation: what each automation does, how to pause it and how to change it
  • A handover session for the people who will run it

Scoped after a short call; the estimate depends on the processes, tools and volume involved.

04/rules

Rules we build in

Automation should save time without creating new risks.

  1. 01

A person approves any step that sends money, changes financial records or messages customers

  2. 02

Every run is logged, so you can see what happened to each invoice, order or email

  3. 03

Failures trigger alerts to a named person instead of failing silently

  4. 04

Only the data a step needs is sent to an AI provider, in line with UK GDPR and ICO guidance on AI and data protection

  5. 05

Data processing agreements are in place with the AI and automation providers we use

  6. 06

Usage and cost limits on AI calls, with documentation and a handover so you are not dependent on us

05/process

How it works

  1. 01

    Map the work

We list the repetitive tasks, the tools they touch and how long they take today.

  2. 02

    Automate one process

We build the first automation with approvals, logs and alerts, and test it on real cases.

  3. 03

    Measure

We compare time and error rates before and after, with your team checking the output.

  4. 04

    Extend

Once the first process is stable, we move on to the next one on the list.

/faq

AI automation questions

We find the repetitive work in your business, such as data entry, document processing, inbox triage and reporting, and replace it with automations that run on their own. Some steps use AI to read or draft text; most are plain rules. We build, test, document and hand them over.

Tasks that happen often, follow a similar pattern each time and are cheap to check, such as invoice entry, order processing or tagging support emails. We start with the one that takes the most time and measure it before and after.

Often plain automation is enough. If the inputs are structured and the rules are clear, a normal workflow is cheaper and more predictable. AI helps when a step has to read messy inputs, such as emails, PDFs or free-text forms, or draft a reply.

Zapier and Make suit simple flows between popular tools. n8n suits more complex flows and can be self-hosted when you want control over where data goes. Custom TypeScript or Node.js services make sense when volume is high, reliability matters or the logic is too complex for a visual builder. We recommend one after mapping the work.

It can be, if it is designed that way. We send only the data each step needs, use providers with data processing agreements, keep logs, and follow ICO guidance on AI and data protection. You remain the data controller, so we document what data goes where for your records.

AI steps produce output in a fixed format that rules then check. Anything that sends money, changes financial records or messages customers waits for a person to approve it. Errors are logged and alerted, and we review real cases with your team before widening use.

Yes. We are a remote team based in Lahore, Pakistan, and we work with UK clients during overlapping UK business hours. Calls, documentation and handover happen online.

You do. They run in your own accounts or infrastructure, and any custom code is delivered to your repository with documentation, so another team could maintain it.

It depends on how many processes are involved, which tools they connect and the volume of work. After a short call to understand the process, we send a scoped estimate.

This service covers mostly fixed workflows with AI steps where needed. Our AI agents service is for tasks where the path depends on what the software finds and it has to choose between tools. Many businesses start with automation and add an agent later.
